Hirer Responsibilities and Behaviours – A polite reminder from the Actihire team

  • Smoking is not permitted at Actihire partner schools at any time, this includes inside any of the school facilities but also anywhere on the school grounds
  • Please collect and dispose of any litter created during your bookings and ensure you leave the facility in the same clean state that you found it
  • Please ensure the correct footwear is worn for the facility you are using. No blades or metal studs are permitted on astro-turf’s or 3G pitches and none-marking shoes must be worn in all sports halls
  • Please note that any foul or abusive language towards Actihire staff or other community hirers will not be tolerated
  • No food or drink other than water or sports drinks should be consumed within the facilities, unless written permission is provided beforehand
  • Toilets are always available onsite – please ensure you use them when required.
  • The group leader/booker is responsible for all participants taking part in the booking and their well-being/safety. They must make sure the entire group follow all rules, including ensuring participants do not enter any un-authorised area of the schools. They must also ensure that they have – when required – the relevant public liability insurance, safeguarding procedures, risk assessments and first aid equipment/training in place
  • Failure to adhere to any of these responsibilities and behaviours may see your booking cancelled


Onsite Queries and Information

  • If you have any issues whilst your booking is taking place you can contact the Actihire out-of-hours team on 0330 808 1965 and pressing for option 2. If you can’t get through immediately don’t worry someone will ring you back straight away, they will simply be dealing with another query at a different Actihire partner school. There is always someone manning the out-of-hours number when your booking is taking place, including 30 mins before and after.


Onsite Queries and Information

  • If you have any issues or questions with your booking the fastest way to make amendments, cancellations or add bookings yourself is by going to www.actihire.org.uk, clicking ‘my account’ and logging in to your booking area. If you still can’t resolve your query, you can either email bookings@actihire.org.uk , text us on 07401184541 or call 0330 808 1965 pressing for option 1 (our preference is email or text). Booking support is available
  • Cancellations can also be made by logging into your online account by going to www.actihire.org.uk, clicking ‘MY ACCOUNT‘ and logging in to your booking area
  • Actihire partner schools do not operate like a traditional leisure centre in terms of having set open and close times. Our partner school facilities are available for private hire and therefore we only staff the facilities when there are bookings in place during evening, weekend and school holiday periods
  • If you are the first/only booking onsite, then the Actihire staff member will only arrive 15 minutes before the booking to open the school and then let people in for their booking time. Unfortunately, you cannot gain entry earlier and if you do require more time this must be booked in advance
  • Your booking time includes any setting up/, tidying up, warm up, cool down and changing time you may need. You are expected to leave the site at the end of your booking time – again if you need more time this must be booked in advance
  • If you are the last booking/only booking in, then the Actihire staff member is required to have locked and left the site no later than 15 mins after the booking
  • Extra bookings – you can do these online at your account by going to www.actihire.org.uk and selecting ‘my account’ or you can also booked at our other venues at the same web address and selecting ‘book a partner school’
  • On the rare occasion a staff member is ill and cannot open the school facilities, Actihire will do all they can to get the shift/bookings covered as quickly as we can via other members of our team. However, on rare occasions we do have to cancel the sessions last minute. In the event this should happen Actihire will refund the session/credit your account but cannot accept any liability or losses incurred
  • Occasionally cancellations occur due to unforeseen school events/activities/maintenance taking place. This is something Actihire work hard with our partner schools to try and mitigate as much as possible. But on rare occasions schools sometime cancel community use bookings at short notice.. This is something we find across all the schools we partner with due to the nature of them being schools first and foremost and them having change things last minute to meet the needs of their pupils and teachers. In the event this should happen Actihire cannot accept any liability or responsibility for losses incurred but will refund the session/credit your account
  • On occasion the facilities may need maintenance but be deemed safe to use e.g. one light out on the 3G pitch or in the sports hall. On these occasions Actihire will liaise with the school to get this resolved ASAP however sometimes this can take time. Please note in these instances we cannot apply a discount or free sessions as the facility has been deemed fit to use. If you wish to cancel your session you can do so keeping with the cancellations rules of your booking found in the terms and conditions
  • In the event of bad weather Actihire via Bookteq will contact you if the facilities are closed, you do not need to contact us. If you do not hear from us the facility is open. If Actihire have deemed the facilities fit for use then you will be still be charged for the booking if you decide not to use the facility that evening.
  • It is the hirer’s responsibility to check the online portal and ensure that the bookings are at the right time and dates. If you have something booked in you will be charged for this unless you cancel outside of the 7 days cancellation notice period.


Payments

  • Payment is required before entry for all bookings. If you have not paid your booking beforehand it will be cancelled
